How SILO Notifies you of Hits

SILO routes screening notifications to the right people automatically, so work moves faster and nothing is missed. Alerts are targeted to responsible staff (not generic inboxes), and only active users receive them.


Who Gets Screening Emails (Priority Order)

  1. Assigned Risk Analyst

    If a Risk Analyst is assigned and active, they receive the alert.

  2. Assigned Relationship Manager

    If no Risk Analyst is assigned, the alert goes to the assigned Relationship Manager (active).

  3. Senior Oversight (Fail-safe)

    If nobody is assigned—or the assignee is inactive—SILO escalates automatically to Senior Managers and Senior Compliance Staff (active) so alerts are still seen.

Note: Only active users receive emails. If a user leaves or is disabled, they will not be notified.


Types of Screening Emails

  • Immediate alerts (Subject Line “New Hits found”)

    Sent promptly when SILO detects a new screening hit or an update to an existing hit.

  • Weekly reminders (Subject Line “Open Hits found”)

    Sent once a week (by default Monday) listing any open/unworked hits that still need review.


What Is Screened Nightly

  • Profiles in Pending or Active status are screened every night.

    This keeps risk monitoring current without manual effort.


Why This Design Helps Your Team

  • Clear ownership: Alerts go to the people responsible for the profile first.

  • Fewer misses: If no one is assigned, senior oversight is notified automatically.

  • Lower noise: Only active users get alerts; ex-employees won’t be pinged.

  • Traceable action: Emails include direct links to the specific profiles for quick review.


Quick Setup Checklist (Recommended)

  1. Decide your recipient model

    • Primary: named individuals (Risk Analysts / Relationship Managers)

    • Oversight: rely on SILO’s built-in Senior Oversight fail-safe

      (Avoid using a single generic mailbox as the primary destination.)

  2. Assign owners

    • For each monitored profile, assign a Risk Analyst (first choice) or a Relationship Manager.

    • Keep assignments up to date when staff change roles.

  3. Keep user status current

    • Mark staff inactive when they leave.

    • Confirm new joiners are set to active before expecting alerts.

  4. Verify delivery with a test

    • Share your intended recipient list with SILO Support.

    • We’ll send a quick test to confirm alerts arrive where you expect.

Common Pitfalls (and How to Avoid Them)

  • Unassigned profiles

    If no one is assigned, SILO can’t notify the specific owner. Assign a Risk Analyst (or Relationship Manager) to ensure direct delivery.

  • Inactive users

    Alerts are not sent to inactive or disabled users. Update user status promptly during staff changes.

  • Relying on a generic mailbox

    Shared inboxes can dilute accountability. Prefer named owners, with Senior Oversight as the safety net.


Troubleshooting: “I Expected an Alert but Didn’t See One”

  1. Check assignment

    • Is a Risk Analyst or Relationship Manager assigned to the profile?

  2. Check user status

    • Is that person active in SILO?

  3. Check profile status

    • Is the profile Pending or Active (nightly screening applies)?

  4. Check alert type and timing

    • Immediate alerts go out when a hit appears/updates.

    • Weekly reminders arrive on Monday for open/unworked hits.

  5. Run a confirmation test

    • Share one expected alert (profile name + approximate time) with SILO Support. We’ll trace and confirm delivery.

Q: Can we send alerts to a specific email address instead of users?

A: SILO sends alerts to people based on assignments. This keeps accountability clear and the audit trail strong.

Q: What if both a Risk Analyst and Relationship Manager are assigned?

A: The Risk Analyst is notified first. If none is assigned (or active), the Relationship Manager is notified.

Q: What if nobody is assigned?

A: SILO notifies Senior Managers and Senior Compliance Staff (active) so alerts aren’t missed. We still recommend assigning an owner.
