Managing and Connecting Profiles

Create, connect, and manage directors, shareholders, and related parties for accurate due diligence and ownership tracking.

1. Understanding Profiles and Roles

  • Each person or entity should have only one profile, even if they serve multiple roles or are linked to multiple entities.

  • Roles (e.g., Director, Shareholder) are linked through Connections on the entity’s profile.

  • Administrators can customize role types under Administration > Roles.

To Add or Deactivate Roles:

  1. Go to Administration > Roles

  2. Click Add to create a new role

  3. Avoid overly specific labels (e.g., use “Child” instead of “Daughter”)

  4. Use the toggle to deactivate roles not currently in use

  5. Roles can only be deleted if not in use


2. Connecting a Director to an Entity

  1. Search for and open the entity profile

  2. Go to the Connections tab

  3. Click Edit, then go to the Directors section and click Add

  4. Search for and select the director’s profile

  5. Set the role (default is Director; can be changed)

  6. Enter Appointment Date and optional Resignation Date

  7. Mark if the person is a Controller, Beneficial Owner, or Registrable Person

  8. Assign the correct Address

  9. Click Create, then Save

For CSPs: Use export options to generate Registers of Directors in PDF or Excel.

3. Managing Shareholders and Members

To add a shareholder or member:

  1. Open the Entity Profile > Connections

  2. Click Edit, then navigate to the Members section

  3. Click Add

  4. Search for and select the individual or entity

  5. Select the correct address and assign the appropriate role

  6. Mark as Controller, Beneficial Owner, or Registrable Person if applicable

  7. Click Create, then Save

At this stage, the profile will show “No shares held” until share transactions are added.


4. Recording Share Transactions

  1. Open the Entity Profile > Connections > Edit Mode

  2. Scroll to Share Transactions and click Add

  3. Fill in:

    • Transaction Date

    • Type of Shares

    • Number of Shares

    • Transferred From (leave blank for new issuance)

    • Transferred To (select profile)

    • Optional: Amount paid, Share Numbers, Notes

  4. Click Create, then Save

Expand the member row (➕) to view total shareholding and ownership %

Use the Footnote field to record total shares authorized if required by your jurisdiction

Export Registers of Members in PDF or Excel as needed


5. Managing Other Entity Connections

Use the Other Connections section to link:

  • Proxies

  • Authorized Signatories

  • Legal Representatives

  • Investment Managers

To connect individuals (e.g., family members):

  • Create a custom role (e.g., Spouse, Child) in Administration > Roles

  • Link individuals under Connections

To connect Trust Profiles:

  • Use the same process to connect:

    • Settlors

    • Trustees

    • Beneficiaries

    • Protectors

    • Executors


6. Viewing and Managing Relationships

In View Mode, you can review:

  • Active and former Directors

  • Shareholders and ownership percentages

  • Due diligence status and risk rating of each connection

For Entity-to-Entity relationships:

  • When Entity A holds shares in Entity B, the connection appears in both profiles

  • Example: LANNISTER INVESTMENTS holds shares in STARK INDUSTRIES
